Zoom Rooms

Zoom Rooms are Zoom-enabled meeting spaces in many conference and seminar rooms on campus. The digital display(s) are connected to a Zoom Room tablet that allows you to start or join meetings and share content, featuring many of the familiar controls found in the Zoom desktop application. When a Zoom Room joins a meeting, it appears in the Participant panel with the name of the space it is located in, for example, “LIB-426-Conference Room”.

Using Zoom Rooms on Campus

When planning to use a Zoom Room-equipped space, the following is recommended:

  • Schedule your meeting in advance using your usual method –  Outlook calendar integration, Canvas integration, UMassD Zoom website, etc.
  • Bring a secondary device with you to the space, preferably a laptop. Although the meeting should always be launched from the Zoom Room, you can also join the meeting via the laptop and use it to share content, manage breakout rooms, suspend participant activities, etc. 
  • Use the room’s built-in equipment and remind in-room participants that they should not connect to audio on their own devices to avoid in-room audio feedback.
  • If others are helping you run the meeting, list their UMassD email as Alternative Hosts in the scheduling form. (Note: use their non-alias email address.) This way, if they join from a laptop or other device, they will be given the Host/Co-host role as necessary.

Zoom Room Home Screen

The Zoom Room tablet provides a home screen with options to start/join meetings and present content without a meeting. Zoom is the primary teleconference option, but most UMassD Zoom Rooms include Google Meet, Microsoft Teams, and Webex meeting options.

Zoom Room: Room Controls

LAW-016 Zoom Room also includes a Room Controls option that allows you to control the TVs. Learn more about the Zoom Room features in LAW-016.

Join an Existing Zoom Meeting

  1. On the Zoom Room tablet, tap the Join button on the controller to join a Zoom meeting
  2. Enter the meeting ID, then press Join
  3. Enter the meeting passcode and tap OK.

Start a New Zoom Meeting

  1. Using the Zoom Room tablet, tap Start a new meeting.
  2. Use the Zoom Room tablet for additional Zoom meeting host options, like inviting participants, changing camera views, and recording the meeting.
  3. On the Zoom Room tablet, tap the End button and then End Meeting for All to end the Zoom meeting.

Share Content from your device WITHOUT joining a Zoom meeting:

  1. Make sure your device is connected to the Eduroam wireless network.
  2. Open the Zoom app on your laptop or other device, and select Share Screen.
  3. Select the screen or application and click Share.
  4. When finished, stop sharing the screen by clicking Stop share via the Zoom app on your device or by tapping Stop Sharing on the Zoom Room tablet.

    Need to start a Zoom meeting? Tap the Start Meeting button on the Zoom Room tablet to convert the session into a Zoom meeting. Use the Zoom Room tablet for additional Zoom meeting host options, like inviting participants and recording the session. Be sure to tap End then End Meeting for All to conclude the meeting when finished.

Once the Zoom Room has joined the meeting, the tablet’s screen will display a similar view to the one pictured below. Options may vary depending on the space and the Zoom Room’s role within the meeting (Host vs. Participant).

Google Meet, Microsoft Teams, and Webex

Most Zoom Room tablets will include options to join Google Meet, Microsoft Teams, and Webex meetings as a guest. You will need to join the meeting via a laptop to share desktop content. Be sure to use the Zoom Room audio for the meeting and not your laptop audio to avoid audio feedback. Tap the meeting icon to begin, and have the meeting code/ID and password ready to join.
